Connecting Google or Outlook Calendar
Calendar sync
Your FirstFiveMin calendar is the record of every appointment the assistant books, whether or not anything else is connected. Connecting Google or Outlook does two things: busy time on that calendar blocks your openings, and every booked appointment is copied out to it. You never have "another place to check".
Connect
- Open Calendar and scroll to Calendar sync.
- Press Connect Google or Connect Outlook and sign in with the account whose calendar you want.
- Back on the page the row reads Connected, and the first sync of busy time runs right away.
Google only asks for the minimal permissions: your own calendar events and free/busy. Outlook reads nothing beyond free/busy.
The two toggles
Each connected calendar has two checkboxes:
- Busy time on this calendar blocks my openings: anything marked busy there is never offered to a lead.
- Add booked appointments to this calendar: bookings are written into it.
Appointments are written to one calendar: the first connected calendar with the second toggle on (Google first, then Outlook). Busy time is still read from every calendar with the first toggle on. The sentence under the toggles states the current destination, and FirstFiveMin always keeps the booking regardless.
Synced busy time
Synced busy time (next 7 days) lists what was read from your calendars, when it was last read, and refreshes every ten minutes. On the grid, provider busy time shows as dashed "Busy" chips; click one to open the day in that calendar.
Disconnect or reconnect
Press Disconnect, then confirm. We stop holding the calendar's access tokens and its busy time no longer blocks your openings. Bookings already made stay in your FirstFiveMin calendar. If a connection breaks (a changed password, a revoked app), the row reads Sync stopped with a Reconnect link, and a red banner appears on every page until you do.
Common problems
- "Sync stopped": press Reconnect and sign in again. Until then its busy time is not blocking your openings, so a double booking is possible.
- A booking is in FirstFiveMin but not in Google: check the second toggle is on for that calendar, and that another calendar is not the destination.
- Google shows the event at a strange hour: your Google account may display in a different time zone. The booking's own time zone is on the lead record.
