What each appointment needs
Some appointments only work if something is done first or brought along — a signed buyer agreement before a first tour, both owners home for a replacement estimate, a photo ID, a parent for anyone under 18, the names of everyone involved so a conflict check can run.
This is where you list those. Your assistant can then collect them and pass what it hears to you.
Your assistant collects, it never judges
This matters enough to say plainly. When someone tells your assistant something on this list — an allergy, a medication, a date, who else is involved — it records what they said and gives it to you. It does not form a view about the answer, decide whether it is acceptable, or give advice about it. That judgement is yours, and it stays yours.
Adding items
On Settings → What each appointment needs:
- If your list is empty you will see a button offering common starting points for your industry. As with appointment types these are suggestions, not rules.
- Or press Add an item and write your own.
For each item you set:
- What is needed — in English and in Spanish, in your own words.
- Applies to — one appointment type, or Every appointment. Most items ("photo ID") apply to everything; some ("consultation completed first") only apply to one type.
- Required — tick it when the appointment is not worth keeping without it. Leave it clear for things worth mentioning but not worth blocking.
Press Save the checklist when you are done.
Good to know
- Up to 10 items per appointment type, plus your Every-appointment items.
- Each item keeps a short internal id, so rewording one is safe.
- Removing an item does not change anything already booked.
- Items set to Every appointment apply on top of whatever a specific type asks for — you do not have to repeat them.
What this does not do yet
This records your checklist and lets you edit it. Having the assistant read the list out, book around a missing prerequisite, and remind someone the day before arrive with the next scheduling releases.
